Opportunity

The client set out to design a large-scale incentive that delivered a premium experience while offering greater personalization and flexibility for participants. With hundreds of participants to reward, a traditional incentive program would have quickly escalated beyond the available budget. They needed a more flexible, cost-efficient approach, one that could still deliver high-end experiences (including luxury properties) without the added overhead and production costs of a full-scale program. 

This led to a choose-your-own destination model, giving winners the ability to select where and when they traveled within a curated set of options. 

Solution

To bring this vision to life, Bishop-McCann designed an individual incentive travel program that combined structure with flexibility. 

Winners selected from four distinct destinations—San Diego, Denver, Nashville, and Boston—each offering a unique experience across different regions and travel styles. These locations were intentionally chosen for their accessibility, seasonal appeal, and ability to deliver a high-end experience, with each destination offering a distinct setting.  

Additionally, our team ensured that attendees stayed in incredible accommodations during their trips. Those traveling to Denver, Nashville, and Boston all stayed at Four Seasons properties while those flying to San Diego stayed at the Alila Marea Beach Resort to experience an adults-only beachfront resort.  

Each winner received: 

  • A 3-day stay at a luxury property 
  • Round-trip airfare for themselves and a guest 
  • A $200 room credit for incidental expenses 
  • A $100 rideshare voucher for airport transfers 

To support the experience, Bishop-McCann developed a Cvent registration platform where winners could select their destination and preferred travel dates across an extended window. This flexibility allowed participants to align travel with their personal schedules, whether around holidays, milestones, or simply when it worked best for them. 

Behind the scenes, the team: 

  • Managed hotel sourcing and confirmations without traditional room blocks 
  • Coordinated individual air travel bookings and itineraries 
  • Monitored program logistics and adjustments in real time 
  • Navigated blackout dates, schedule changes, and cancellations 

By taking a more strategic approach to destination selection, timing, and sourcing, the program delivered a seamless experience at scale. 

Outcome

The program successfully delivered a premium incentive experience while supporting the client’s goals for flexibility and efficiency. The program resulted in:  

  • Strong participation, with nearly all qualifiers taking advantage of the reward 
  • Extended stays for many winners, increasing overall perceived value 
  • Strategic sourcing and planning that maximized the experience for each participant 

Most importantly, the program demonstrated that individualized incentives can still feel elevated. By curating destinations and experiences (rather than offering a simple voucher), we ensured the reward remained thoughtful, intentional, and memorable. 

Once on-site, the experience was entirely their own. Without a structured group agenda, participants had the freedom to explore each destination in a way that mattered to them, whether that meant relaxing on a beach or experiencing a vibrant city.  

This independence became the differentiator. Instead of a one-size-fits-all itinerary, each trip reflected the individual, turning a reward into their own personalized experience.
