Woven Into Legacy: A Creative Approach to Customer Recognition

This incentive travel program was designed to recognize the top 2% of customers of a nationwide commercial building-products manufacturer. Thirty-five customers and their guests traveled to Edinburgh for five days of elevated recognition, cultural immersion, and relationship building. The challenge was to create an experience worthy of the client’s most important customer relationships: one that felt exclusive enough to feel truly earned, personal enough to deepen loyalty, and cohesive enough to leave a meaningful impression.

When determining the location, Scotland was selected due to its ideal combination of history, scenery, tradition, and first-time discovery, as most participants had never visited the country. The program was built around an original creative concept, “Woven Into Legacy,” expressed through a custom red, black, and white branded tartan, which was created with a local kilt maker specifically for this event. From the first save-the-date to the custom tartan guests wore at the final gala, we created a program that took the client’s brand identity and literally wove it into an impactful five-day experience.

Opportunity
The client’s primary objective was to recognize and retain its highest-value customers while strengthening the relationships that support long-term growth. For this audience, the incentive needed to provide a luxury travel experience while also communicating that each qualifier was essential to the company’s success and part of a select community whose contributions would be remembered.
Meaningful business value was created through uninterrupted time between senior client leaders and their most important customers. Opportunities for cultural immersion also added depth to those interactions, giving guests a shared sense of place and experiences to connect over. Activities at St. Andrews, Winton Castle, Ghillie Dhu, and the Royal Yacht Britannia created memorable settings for organic conversation and connection beyond formal business interactions.
Delivering the program required seamless coordination between the client, incentive planning team, travel partners, local vendors, historic venues, cultural performers, and hospitality partners throughout Edinburgh and the surrounding countryside.

Outcome
Results were exceptional. The client attributed new business to the personal, custom touches that made customers feel recognized and connected. Participants rated the program 9.8 out of 10, and the client’s program leader called it the best event of her 20-year career. From private experiences at Winton Castle and Ghillie Dhu to Scottish culinary exploration and golf at St. Andrews, this was a once-in-a-lifetime experience for their attendees.
Those results were made possible by careful attention to both the guest experience and the investment behind it, delivering strong value within the established budget. Destination partners helped the team negotiate preferred pricing while securing enhancements that elevated the experience without significantly increasing costs. Those relationships helped create exclusive moments that attendees could not have purchased independently, including enhanced access aboard the Royal Yacht Britannia and personalized experiences at Winton Castle.

The same intentionality extended to the program’s creative development. From pre-trip communications to on-site experiences and keepsakes, the creative strategy transformed the client’s brand identity into tangible moments of recognition throughout the journey. These details made the experience feel personal and earned, while creating a cohesive thread from the first communication through the final evening.
Through these custom elements, the program strengthened customer loyalty, creating highly shareable memories and reinforcing the exclusivity of Platinum Council membership. Its most valuable return was relational: top customers left Scotland with a stronger emotional connection to the brand, to company leadership, and to one another.

Creative Concept
The program’s defining creative achievement was turning a custom tartan into a living narrative. Following the initial site visit, the team learned that a local kilt maker could create an original tartan using the client’s red, black, and white brand palette (a six-month process). What began as a gift idea became the central creative platform for the entire experience: “A single thread, woven into a greater whole, forms a legacy that endures.”
The story unfolded in deliberate stages. The save-the-date introduced a single red thread and the message, “The journey begins with a single strand.” Registration revealed the red layer, symbolizing performance and drive. Teaser emails added black, representing strength and success. Know-before-you-go communications introduced white, symbolizing shared purpose and vision. The completed tartan then appeared inside the pre-event packaging, passport holder, and pouch – a visual reveal showcasing how each qualifier’s individual contribution had become part of something larger.
The narrative culminated on site. Staff wore custom tartan sashes. Guests received themed gifts throughout the trip. Then on the final evening, attendees appeared in their custom-made Highland attire and gathered on The Caledonian’s grand staircase for a striking group portrait before traveling by red double-decker buses to the Royal Yacht Britannia. The sequence transformed a branded textile into identity, ritual, and memory. Attendees were not simply told they were part of the organization; they could literally see themselves woven into its fabric.




JOY Moments
Creativity extended into the experiences themselves. At Winton Castle, a private 500-year-old estate, guests rotated through falconry, clay pigeon shooting, archery, piping, Highland dancing, and a gun-dog demonstration before sharing a Scottish barbecue. At Ghillie Dhu, a bagpiper welcomed the group and performed Robert Burns’ “Address to a Haggis.” Accompanying attendees created bespoke handbags from authentic Harris Tweed and vegan leather. Guests explored whisky at Johnnie Walker Princes Street, walked Edinburgh’s historic and culinary neighborhoods, and played one of the world’s most storied golf destinations at St. Andrews.
The finale delivered access far beyond a standard tourist visit. Aboard the Royal Yacht Britannia, stanchions were removed so guests could sit on original royal furniture, and dinner was served in the Queen’s dining room. A Britannia crest pin was hidden inside each napkin as a personal keepsake. Outside the yacht, guests witnessed a “Beat to Retreat” ceremony featuring pipes, drums, and formal military tradition before returning inside to dance.

The final evening also included a special room drop for every couple featuring a custom tartan wool blanket. Then, as a post-event thank-you, each couple received a personalized package commemorating their participation in the incentive trip. The gift included a certificate recognizing ownership of a small commemorative plot of land on a Scottish estate, along with the honorary designation of “Lord” and “Lady.” This unique keepsake extended the event beyond the trip itself, giving guests a meaningful reminder of their time in Scotland and a memorable way to celebrate the destination’s history and traditions.
